BRIEF:

We received the request for this event in a late stage, which forced us to plan the event within a

timeframe of only one month. We had to find a proper hotel where we could hold a convention, with 20

break outs divided per area and per country. This made logistics complicated to plan.

AUDIENCE:

600 participants from Mexico, Venezuela, Colombia, Ecuador, Chile, Jamaica, Trinidad and Tobago, and

Costa Rica

CLIENT:

Aspen is a global laboratory that supplies pharmaceuticals in more than 150 countries across the world.

LOCATION:

Hotel Barcelo, Riviera Maya

CHALLENGES AND OPERATION:

Both before and during the event we had to deal with various challenges. The Riviera Maya was chosen

as destination because of the accessibility, climate, cultural attractions, and tranquil ambiance. We had

to propose a place suitable for high-executives and VIP’s. Because of the high number of participants

(600), our telemarketing team had to be rapidly expanded. Special charters had to be organized for

flights from Venezuela. The on-site logistics in terms of transportation was complicated, as a result of

the size of the resort, but this was solved by contracting coaches. Another challenging situation was the

unexpected rainfall during one night, which forced us to rapidly adapt the montage.
